Administrative Assistant/Receptionist – Bellwood, Toronto, ON

Bellwood Health Services is a nationally recognized, accredited Addiction Treatment Centre, with over 35-year history of serving Canadians from across the country. Bellwood is currently looking to a full-time Administrative Assistant/Receptionist.

Job Description:

This individual is responsible for switchboard duties and relief.  He/she assists with administrative duties in the Assessment Department and switchboard Bellwood Health Services Inc.  He/she is responsible for inputting client inquiry information into the database.  This individual undertakes any other duties as assigned by their direct supervisor.

Duties and Responsibilities:

  • Switchboard – handle incoming/outgoing and inter-office calls. 
  • Daily switchboard coverage.  Additional relief coverage as required for staff breaks, vacation, sickness etc.
  • Reception – Receiving and directing visitors and clients in a professional and comforting manner.
  • Sorting and distributing mail
  • Taking messages for clients
  • Accept payments for outpatient services and wellness center service as well as generating invoices and being backup for wellness center appointment bookings
  • Generate and fax referral letters for new admission with referents 
  • Notify clinical staff of group placement for daily admissions (via email)
  • Update MOH bed count onto MOH website
  • Schedule Wagon appointments bi-weekly and handle rescheduling missed appointments 
  • Upload photos of new admissions onto server and print out photo form for nursing
  • Accept payments for outpatient services and wellness center service as well as generating invoices and being backup for wellness center appointment bookings
  • Other duties as assigned

Hours:

  •  Monday – Friday from 12:00 pm to 8:00 pm

Qualifications:

  • University graduate or college diploma
  • 1-3 years of administrative experience or equivalent
  • Excellent communication skills
  • Strong computer skills
  • High level of creativity
  • Independent worker, self-starter
